Key Takeaways

The AskBiz Business plan gives up to 5 team members access to your connected business data with role-based permissions — ensuring each team member sees the data relevant to their role while the founder retains full oversight. This guide covers team setup, roles, and how teams use AskBiz most effectively.

Who on your team should have AskBiz access#

The most valuable team members to add to AskBiz on the Business plan are the people who make decisions that depend on business data. Your operations manager: needs access to inventory data, supplier scorecard, and shipment intelligence to manage the supply chain effectively. Your marketing manager: needs access to customer acquisition cost by channel, customer lifetime value, and churn data to allocate marketing spend. Your head of eCommerce or marketplace manager: needs access to platform-specific performance data — Shopify analytics, Amazon FBA metrics, TikTok Shop performance. Your CFO or finance manager: needs access to cash flow, P&L, and working capital metrics. Each person can ask their own questions of the shared data — giving the whole team data access without the bottleneck of routing every question through the founder.

Setting up team roles and permissions#

From the Team section of your AskBiz account settings, invite team members by email address and assign a role. Available roles: Admin (full access to all data, all settings, and billing — typically the founder), Analyst (full data access, cannot change account settings or manage other users), Viewer (can see dashboards and reports, cannot ask new questions or change configurations). For most teams, Analyst access for operational managers and Viewer access for junior team members provides the right balance of access and control. All team members share the same connected data sources — each person queries the same underlying business data but through their own login.

Shared dashboards and collaborative workflows#

Business plan users can save queries as named reports — accessible to all team members in the Saved Reports section. Useful shared reports to set up: Daily Revenue Summary (revenue vs yesterday, vs last week, vs last month), Weekly Margin Review (gross margin by product category, trend vs prior week), At-Risk Customer List (customers flagged by churn intelligence this week), Inventory Alert Report (products below reorder point or above 26 weeks of cover), and Supplier Performance Summary (current Scorecard grades for all active suppliers). These shared reports ensure all team members are working from the same data — preventing the version control problems that plague shared spreadsheet environments.

Using AskBiz in management team meetings#

The most effective use of AskBiz in management meetings is as a live data source rather than a pre-built presentation. In a weekly management meeting, team members can ask AskBiz questions in real time as they arise in discussion — rather than needing to pull up a spreadsheet or request data from a colleague. 'What was our conversion rate on paid social vs organic last month?' can be answered in the meeting rather than actioned as a follow-up. This changes the nature of management discussions from reviewing prepared data to actively interrogating live data — producing faster, better-grounded decisions.

Team account best practices#

Best practices for teams using AskBiz: establish a naming convention for saved reports so they are easily findable, set a weekly rhythm of sharing the most important AskBiz insights in a team channel (Slack or email), assign ownership of specific data areas to specific team members (marketing manager owns the CAC and LTV metrics, operations manager owns the supplier scorecard and inventory data), and run a monthly review of the alerts that fired during the month — discussing which were acted on and what the outcome was. This last practice builds the team's data-driven decision-making muscle over time.

People also ask

How many team members can use AskBiz?

The AskBiz Business plan includes up to 5 team seats. The Free and Growth plans are single-user. Additional team seats beyond 5 are available on request for Business plan customers with larger teams.

What roles are available in AskBiz for teams?

AskBiz provides three team roles: Admin (full access including settings and billing), Analyst (full data access, cannot change settings), and Viewer (can see dashboards and saved reports, cannot ask new questions). Each role is assigned per team member when inviting them.

Can different team members see different data in AskBiz?

All team members on a Business plan account share the same connected data sources. Role-based access controls what each member can do (ask questions, save reports, change settings) but does not currently restrict which data sources each member can query.
