Setting the threshold#

Go to POS > Settings > Approvals > High Value Transactions. Set the amount above which transactions require manager approval โ€” for example KES 100,000 or NGN 500,000. When a sale reaches this threshold, the POS prompts for a manager PIN before completing payment. This protects against entry errors and unauthorised large sales.

What triggers high-value approval#

The threshold applies to the total transaction amount after all items and discounts. If a customer is buying KES 95,000 of goods and the cashier adds another KES 10,000 item, the approval triggers when the total crosses KES 100,000. Split payments do not bypass the threshold โ€” it is based on the order total, not individual payment amounts.

Audit and reporting#

All high-value approvals are flagged in the audit log with the transaction details, cashier, approving manager, and timestamp. The Reports dashboard shows high-value transaction frequency, average approved amount, and any rejections. Use this data to evaluate whether your threshold is set appropriately โ€” too low creates friction, too high misses risks.
