What data AskBiz syncs from PayPal

AskBiz connects to your PayPal Business account and syncs: Payments received (amount, date, sender reference, and transaction ID), PayPal fees (charged per transaction, deducted to calculate net receipts), Refunds and chargebacks (amount and date), Currency conversions (if you receive payments in multiple currencies), and Balance history (your PayPal account balance over time). AskBiz does not sync PayPal invoices or expense payments made from PayPal โ€” it focuses on inbound payments.

Connecting PayPal

Go to Settings โ†’ Data Sources โ†’ Add New Source โ†’ PayPal. Click Connect with PayPal and log in to your PayPal Business account. Grant AskBiz read-only access to your transaction history. Once connected, AskBiz will sync up to 24 months of historical transaction data. Note: PayPal requires a Business or Premier account โ€” Personal accounts do not have API access. If you are using PayPal primarily as a payment method on Shopify or WooCommerce, your PayPal transactions are already captured via those integrations and you do not need to connect PayPal separately (doing so would create duplicates).

Using PayPal data for cash flow tracking

The most useful application of the PayPal integration is cash flow visibility. AskBiz shows your PayPal balance trend alongside your bank account balance (if connected), giving you a consolidated view of liquid assets. Go to Finance โ†’ Cash & Liquidity to see your combined cash position across all connected payment accounts. This is particularly useful for businesses that hold significant working capital in PayPal rather than transferring to a bank account daily.

PayPal fees and reconciliation

PayPal charges a percentage plus a fixed fee per transaction (currently 2.9% + ยฃ0.30 in the UK for most transactions, lower for high-volume merchants). AskBiz shows PayPal fees as a separate line in your Finance view, so you can see exactly what PayPal costs you as a percentage of revenue. For businesses where PayPal is a significant payment method, this fee line is worth monitoring โ€” switching to lower-fee alternatives for high-value transactions can materially improve margins.
