Making Tax Digital and your POS#
Since April 2022, all VAT-registered UK businesses must keep digital records and submit VAT returns using MTD-compatible software. Your POS system is a critical part of this chain. What transaction records you must keep#
HMRC requires you to retain the following for every sale:
- Date and time of the transaction
- Amount charged (including VAT breakdown)
- VAT rate applied (standard 20%, reduced 5%, or zero-rated)
- Description of goods or services sold
- Payment method (cash, card, contactless)

VAT schemes and POS configuration#
If you use a VAT retail scheme (Point of Sale, Apportionment, or Direct Calculation), your POS must be configured to match. AskBiz POS supports standard VAT accounting out of the box and separates VAT at the point of sale. If you use a retail scheme, ensure your accountant has confirmed which scheme applies and that your POS tax settings reflect it.
For businesses on the Flat Rate Scheme, your POS still records the full VAT breakdown per transaction — but your VAT return will use the flat rate percentage. AskBiz exports include both the actual VAT collected and the flat rate calculation to make quarterly returns straightforward.
Common compliance mistakes to avoid#
The most frequent HMRC compliance issues with POS systems are:
- Mixing personal and business transactions — never process personal purchases through your business POS
- Not recording cash sales — every cash sale must go through the POS, even small ones. HMRC penalties apply to undeclared income regardless of amount
- Incorrect VAT rates — check that each product in your inventory has the correct VAT rate assigned. Food, children's clothing, and certain other categories have reduced or zero VAT rates
