Setting Up WhatsApp Receipts

Send digital receipts to customers via WhatsApp after each POS sale. Configure the WhatsApp integration, customise your receipt template, and manage opt-in.

Why WhatsApp receipts?#

Paper receipts cost money, fade over time, and most customers lose them within hours. WhatsApp receipts solve all three problems — they are free to send, permanent on the customer's phone, and easy to search.

For your business, WhatsApp receipts also open a communication channel. Customers can reply to their receipt message if they have a question, and you have a record of every transaction sent. It is a small touch that builds trust and makes returns easier to handle.

Connecting WhatsApp#

Go to Settings → POS → Receipts → WhatsApp and tap Connect. You will need a WhatsApp Business account (free from Meta). AskBiz uses the WhatsApp Business API to send messages — follow the on-screen prompts to link your account.

Once connected, you will see a green WhatsApp Connected badge on your POS settings page. Test the connection by sending a receipt to your own number from any completed transaction.

Customising your receipt template#

The default receipt template includes your business name, transaction date, line items with prices, total, VAT breakdown, and a thank-you message. You can customise:

  • Business logo — appears at the top of the receipt
  • Footer message — add your returns policy, opening hours, or a promotional message
  • Colours — match your brand

Edit the template in Settings → POS → Receipts → Template. Preview changes before saving — the preview shows exactly what the customer will see in their WhatsApp chat.

Sending receipts during a sale#

After completing a sale, the receipt screen offers a Send via WhatsApp option. Enter the customer's phone number (with country code) and tap Send. The receipt is delivered within seconds.

To speed up the process for regular customers, AskBiz remembers phone numbers linked to customer profiles. If the customer has purchased before and provided their number, it auto-fills. Staff can also skip the receipt entirely by tapping Done — sending is always optional and never automatic without customer consent.
