Transferring Stock Between Branches
Move inventory between your store locations with the stock transfer workflow. Learn how to initiate, receive, and cancel transfers.
When to transfer stock#
Stock transfers are useful when one branch is running low on a product while another has surplus. Instead of placing a new order with your supplier, you move existing stock between your own locations.
Common scenarios: a product is selling faster than expected at one branch, you are closing a pop-up and need to return stock to your main store, or you are opening a new branch and need to seed it with products from your existing inventory.
Initiating a transfer#
To start a transfer, you need to specify:
- Source branch — where the stock is coming from
- Destination branch — where the stock is going
- Product — which item to transfer
- Quantity — how many units to move
When you initiate a transfer, the specified quantity is deducted from the source branch immediately to prevent overselling. The transfer is marked as in transit.
Receiving a transfer#
When the stock physically arrives at the destination branch, the transfer needs to be marked as received. This adds the stock to the destination branch's inventory.
If the product already exists at the destination, the quantity is added to the existing stock. If it is a new product for that branch, a copy of the product record is created with the transferred quantity.
Cancelling a transfer#
If a transfer cannot be completed — the stock was damaged in transit, or the transfer was created in error — you can cancel it. Cancelling a transfer returns the stock to the source branch automatically.
Only transfers with an in transit status can be cancelled. Once a transfer is marked as received, it cannot be reversed — you would need to create a new transfer in the opposite direction.
Transfer statuses#
Each transfer has one of four statuses:
- Pending — created but not yet dispatched
- In transit — stock deducted from source, awaiting receipt at destination
- Received — stock successfully added to destination inventory
- Cancelled — transfer voided, stock returned to source
